How to Calculate Pay from Hours Worked
Calculating your earnings based on timesheet records is essential for verifying that your paystub is correct. While many payroll software packages automate this, doing the math manually helps ensure there are no missing hours or rate inaccuracies.
Step 1: Convert Minutes to Decimal Values
Because timecard hours are recorded in standard minutes (60 minutes per hour) but payroll is calculated using decimals, you must divide your minutes by 60 before multiplying by your wage rate:
Decimal Hours = Hours + (Minutes ÷ 60)
For example, if a timesheet lists 38 hours and 40 minutes, the decimal equivalent is:40 ÷ 60 = 0.67.
Total Decimal Work hours = 38.67 hours.
Step 2: Apply Regular and Overtime Formula
Multiply regular hours by the base pay rate, and overtime hours by the overtime rate:
Gross Pay = (Regular Hours × Base Rate) + (Overtime Hours × Base Rate × Overtime Multiplier)
Step-by-Step Example: Imagine you worked 44.5 hours in a week. Your hourly rate is $22, and you get 1.5x multiplier for hours over 40:
1. Regular pay: 40 hours × $22 = $880.00.
2. Overtime hours: 44.5 − 40 = 4.5 hours.
3. Overtime rate: $22 × 1.5 = $33.00 per hour.
4. Overtime pay: 4.5 hours × $33 = $148.50.
5. Total gross pay: $880.00 + $148.50 = $1,028.50.
Handling Weekly Timesheets and Daily Thresholds
In most locations, overtime is calculated on a weekly basis (after 40 hours of work). However, in specific states (like California), overtime is also triggered daily (for any hours worked over 8 in a single day). Our calculator supports standard weekly threshold calculations, where hours from all days are added up, and the excess above your threshold (e.g. 40 hours) is automatically allocated to overtime pay.
